Repair documentation that pays for itself

Stop eating supplements
because you can't find the photo

Insurance sends a change request. You need a photo of the headliner out of the car. But it's already reinstalled. Now you're choosing between tearing it apart again or eating the labor. JPK Photo-Doc makes sure that never happens.

Real scenarios that cost real money

Every one of these has happened in our shop. If you've been in collision repair for more than a year, you've lived them too.

💸 Lost Revenue

The headliner is already reinstalled

Insurance writes a change request on a supplement. They want proof the headliner was removed. Your tech did the work two days ago — headliner is long since reinstalled, car is in detail, interior is cleaned. Without a photo, you either tear it apart again and lose 3+ hours of labor, or you eat the supplement line.

With Photo-Doc: Your tech snapped photos during teardown. They're timestamped, tied to the RO, and sitting in the system. Pull it up, send it to the adjuster. Done in 30 seconds.

Typical loss: $150–$400 per occurrence

Please provide documentation showing headliner removal was necessary for RO #4821. We need photos before we can approve the supplement.

Blend panels are already clearcoated

You wrote a supplement for adjacent panel blending. Insurance wants to see that blending actually took place before they'll approve it. The car is already in reassembly. Now you have to hunt down spray out cards and hope it's enough to satisfy the adjuster.

With Photo-Doc: Your painter documented the color mismatch before prep. The photos are already in the RO with timestamps proving they were taken before paint work began.

Typical loss: $200–$600 per panel
Day 1 — Teardown
Tech documents damage — photos uploaded to RO #4821 Stage: Teardown
Day 2 — Supplement
Estimator writes supplement — adds blend on adjacent panels, attaches color mismatch photos
Day 5 — Painting
Painter documents before paint — photos prove panels needed blending
Day 8 — Insurance Request
Adjuster asks for proof — photos already in system, sent in 30 seconds ✓

The photos are on someone's phone

Your tech is deep into a panel repair — the damage is worse than written, so the estimator asks him to shoot some in-process photos to support a supplement for 6 additional hours. The tech does it. Photos are on his phone. Estimator submits the supplement. Adjuster denies it and fires back — wants the in-process photos before they'll approve the additional time. Now the estimator is walking the shop floor looking for the tech, who's already three cars deep into something else. The tech has to stop, find his phone, scroll through 200 photos to find the right ones, text them over, and the estimator has to forward them from his own phone to the adjuster.

With Photo-Doc: The tech uploads in-process photos from the shop floor the moment they're taken — tied to the RO, organized by stage. When the adjuster asks, the estimator pulls them up in 10 seconds and sends a link. Nobody stops working.

💸 Customer Dispute

"That scratch wasn't there before"

Customer picks up their car and says there's a scratch on a panel you didn't touch. Without documentation, it's your word against theirs. You end up buffing it out for free — or worse, repairing and painting a panel — to keep the customer happy. Even though the scratch was there before.

With Photo-Doc: Your intake photos show the scratch was present at drop-off. Every panel, every angle, timestamped and documented. Professional, indisputable proof.

Typical loss: $200–$2,000+ for a repaint
Drop-Off — Day 1
Intake photos captured — all panels documented at vehicle arrival, 12 photos uploaded
Repair — Days 2–8
Stage-by-stage documentation — teardown, production, paint, assembly all photographed
Delivery — Day 9
Final QC photos — vehicle condition documented before customer pickup
Day 10 — Customer Call
"There's a scratch on my door that wasn't there before"
Day 10 — Your Response
Pull up intake photo — scratch clearly visible in drop-off documentation. Dispute resolved. ✓

The guy who took it apart called off sick

Your disassembly tech stripped the car down, documented everything in his head, and went home. Next morning he calls off. The reassembly tech is staring at a wire harness with no idea how it routes across the car — and the only person who knows is sitting at home. Now you're either calling him on his day off to walk you through it, waiting until he's back, or guessing. Any of those options costs you time, delays the repair, or risks a comeback.

With Photo-Doc: Your disassembly tech photographed and video documented every stage as he worked — wire routing, clips, connectors, brackets — all uploaded to the RO before he left the building. The reassembly tech pulls it up on his phone at the car and gets it right the first time.

Impact: Delays, missed ECD, and unnecessary rental expense
Day 1 — Disassembly
Tech strips the car — photos & videos of wire routing, clips, and connectors uploaded to RO before end of shift
Day 2 — Tech Calls Off
Reassembly tech assigned — opens RO on his phone, pulls up disassembly photos and video at the car
Day 2 — Reassembly Continues
No delays, no guessing — harness routed correctly, repair stays on schedule ✓
ECD Met
Customer picks up on time — rental closed, no extension, no angry adjuster ✓

It pays for itself the first month

One denied supplement pays for a full year

The average collision shop processes 40-60 repair orders per month. Even if documentation saves just one supplement per month — one headliner, one blend panel, one hidden damage line — you've more than covered the cost.

And that's before you count customer disputes avoided, time saved searching for photos, and the professional image it projects to insurance companies who see organized, timestamped documentation instead of random phone photos texted in a group chat.

Monthly Cost vs. Savings
Photo-Doc monthly cost
$149.99
1 saved supplement (headliner)
+$250
1 avoided customer repaint
+$800
1 blend panel approved
+$350
